What can you do with Outlook 2021?

Outlook brings email, calendar, contacts and tasks together in one desktop app. You can manage several accounts at once, sort mail with rules and folders, and search across everything you've received.

The calendar handles meeting invitations, reminders and shared calendars on Exchange or Microsoft 365. Mail is also stored on your PC, so you can read and draft messages while offline.

New in Outlook 2021: Instant Search for finding emails quickly, built-in Translator, inking in messages and a visual refresh.

Should I buy Outlook on its own or a full Office suite?

Buy Outlook 2021 on its own if Outlook is the only Office app you need. If you also need several other Office apps, an Office 2021 suite usually makes more sense than separate keys.

A standalone app is the full desktop version, not a cut-down one. Outlook 2021 on its own has the same features as Outlook inside an Office 2021 suite.

What are the system requirements for Outlook 2021?

Outlook 2021 needs a Windows 11 PC with a 1.1 GHz dual-core processor, 4 GB of RAM and 4 GB of free disk space. Microsoft lists the same minimums for the whole Office 2021 family, including standalone apps. If you need Outlook on a Mac, contact our support team before ordering to check which platform the key is for.

Microsoft's current requirements list Windows 11, as Windows 10 reached end of support on 14 October 2025. Full details are on Microsoft's Office system requirements page.

When does support for Outlook 2021 end?

Microsoft set 13 October 2026 as the end-of-support date for Outlook 2021 and the rest of Office 2021. From that date the app keeps working and stays activated, but it no longer receives security updates.

If the PC handles email, client files or anything sensitive, we suggest a supported release such as Outlook 2024, which Microsoft supports until 9 October 2029. Outlook 2021 still suits PCs that must match an existing Office 2021 setup.

How do I install and activate Outlook 2021?

Redeem the key to your Microsoft account first, then install Outlook from that account. The instructions in your order email walk you through it; in most cases the steps are:

  1. Go to microsoft365.com/setup and sign in with your personal Microsoft account (or create one).
  2. Enter the 25-character key from your email to add Outlook 2021 to that account.
  3. Open account.microsoft.com/services (“Services & subscriptions”) and select Install.
  4. Run the installer, open Outlook and sign in with the same account if asked.
  5. Check File → Account: it should show “Product Activated”.

A common problem we see is a clash with Office that's already on the PC. Microsoft doesn't support two Click-to-Run installations that contain the same app, so Outlook 2021 can't sit next to Microsoft 365 or another Office version that already includes Outlook. An older MSI-based install such as Office 2016 can also block setup, so remove it first.

What does a Retail key linked to a Microsoft account mean?

It means the licence is stored in your Microsoft account, not just on one PC. Redeeming the key is a one-time step; after that you install by signing in, as Microsoft explains in its guide to redeeming a product key.

That makes reinstalling simple after a Windows reset or when you replace your computer: sign in to Services & subscriptions and select Install again. The licence covers one PC at a time, so uninstall Outlook from the old computer first.

Use one personal Microsoft account and keep its sign-in details safe. If you redeem the key with a throwaway address or a work account, the licence can be hard to find later.

Frequently asked questions

Which email accounts work with Outlook 2021?

Outlook works with Microsoft 365 and Exchange mailboxes, Outlook.com, and most other providers through IMAP or POP, including Gmail. You add each account from the File tab. Calendars and contacts sync fully with Exchange and Outlook.com accounts.

What happens to Outlook 2021 after 13 October 2026?

Outlook 2021 keeps working and stays activated, but Microsoft no longer releases security updates for it from that date. For a PC that handles email or sensitive files, we suggest a supported version such as Outlook 2024, which gets updates until 9 October 2029.

Can I reinstall Outlook 2021 or move it to a new PC?

Yes. Because the Retail licence sits in your Microsoft account, you can sign in at account.microsoft.com/services and install it again after a reset or on a new PC. Uninstall it from the old computer first, because the licence covers one PC at a time.

Do I need Office installed to use Outlook 2021?

No. Outlook 2021 is a complete standalone app and installs on its own, without any other Office app. If the PC already has a different Office version that includes Outlook, remove it first, as explained in the installation section above.
